New customers read your replies before they decide. A bad review with no reply tells them nobody cares. A calm, kind reply can win them back. Reply to every review, good and bad.

A woman is choosing a clinic. She sees a one-star review: "Waited two hours." Under it, there is no reply.

She scrolls to the clinic next door. There is a bad review there too. But the owner has replied: "Sorry for the wait. We now give a time slot when you book. Please call us." She books there.

The bad review was the same. The reply made the difference.

How to reply on Google

Google lists these steps (Google):

  1. Sign in and open your Business Profile.
  2. Tap Read reviews.
  3. Next to the review, tap the Reply icon.
  4. Type your reply and tap Reply.

The customer gets a note that you replied. Google checks replies first, so yours may take a few minutes to show (Google).

Replying to a good review

Keep it short and personal. Use their name and one thing they said.

Example: "Thank you, Priya! So happy you liked the masala dosa. See you again soon."
Example (salon): "Thank you, Rahul. Glad the haircut came out the way you wanted. Ask for Arjun next time too!"

Do not copy the same "Thank you for your review" every time. It looks like a machine wrote it.

Replying to a bad review: five steps

1. Wait one hour, then reply. Do not reply when you are angry.

2. Say sorry for how they felt. Even if you think they are wrong, they had a bad visit.

3. Say one thing you will do. Keep it real and small.

4. Take it offline. Give a phone number or ask them to message you.

5. Keep it short. Three or four lines is enough.

Example (wait time): "We're sorry you had to wait so long, Mr. Khan. That's not okay. We now give a time slot when you book. Please call us on 98xxxxxx so we can make it right."
Example (food): "Sorry the biryani was cold, Anita. We have spoken to our kitchen team. Please message us so we can make it right."
Example (wrong review): "Hello, we couldn't find your visit in our records. We'd like to understand what happened. Please call us on 98xxxxxx."

What not to do

  • Do not argue or call the customer a liar. Other customers will read it.
  • Do not share private details like their bill or phone number.
  • Do not copy-paste the same reply to every review.
  • Do not ignore bad reviews. Silence looks worse than the review.
  • Do not offer discounts in exchange for changing a review. Google does not allow it.

What "fixed" looks like

  • Every review in the last three months has a reply.
  • Bad reviews have a calm reply with a way to reach you.
  • Your replies sound like a person, not a machine.
  • You check for new reviews at least twice a week.
